1. About This Policy & Launch Surface

RentWize ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our rental property documentation service (the "Service"). By using RentWize, you agree to the collection and use of information in accordance with this policy.

RentWize currently provides property, evidence, maintenance, communications, support, subscription and account management features. Some features, including WizeScore, Tenant Passport, Income Verification, Agency API access and CLM workflows, are not enabled at launch.

2. Information We Collect at Launch

For our launch service, we collect the following categories of data:

  • Account and contact data (email address, password, optional phone number)
  • Property and tenancy records (address, lease dates, rent history, bond details)
  • Evidence and uploaded files (photos and documents uploaded to the Evidence Vault)
  • Maintenance, repair, and communications records (maintenance request descriptions, photos, landlord/agent contact info, condition reports, and support logs)
  • Subscription and billing metadata (processed securely via Stripe; note that Stripe processes all payment details directly, and RentWize does not store raw credit card data)
  • KYC status/reference metadata (if identity verification is required/enabled via our third-party provider, Didit)
  • Support chat data (conversations and metadata via Intercom/Fin)
  • Technical logs and monitoring data (application performance and reliability telemetry via Datadog)
  • Transactional email data (email status and metadata via Maileroo)
  • Referral data (inviter account ID, invitee email or invite token, referral status, and Stripe coupon/subscription metadata for our roommate referral promotion, with emails processed via Maileroo. No WizeScore, Tenant Passport, evidence, or income data is shared through roommate referrals at launch)

2a. Disabled Features & Data Safeguards

To minimize your data surface, the following features are disabled at launch and do not collect or process user data:

  • Income Verification: Payslips, tax returns, and bank statements are not collected at launch.
  • Tenant Passport: Tenant Passport exports are not generated or shared at launch.
  • Agency API: External database sharing and Agency API integrations are not enabled at launch.
  • WizeScore: Profiling, scoring, and automated dashboard grading are not active at launch.
  • Tomorro CLM: Legal templates and CLM document signing workflows are disabled unless separately activated and disclosed.

3. How We Use Your Information

  • To provide and maintain the Service
  • To process your subscription payments
  • To send service-related communications
  • To improve and personalise the Service
  • To comply with legal obligations under Australian law

4. Data Storage & Security

Your data is stored on secure cloud infrastructure. We use industry-standard encryption for data in transit (TLS/HTTPS) and at rest. We do not sell your personal information to third parties. Photos and documents you upload are stored securely and are only accessible by you.

5. Data Retention

We retain your data for as long as your account is active. Upon account deletion, we will delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.

6. Australian Privacy Law

We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). You have the right to access, correct, or delete your personal information. To exercise these rights, contact us at support@rentwize.com.au.

7. Third-Party Services & Processors

To deliver our launch service, we share limited data with the following launch-live third-party processors:

  • Appwrite — Cloud backend infrastructure, authentication, database, and secure file storage (hosted in Sydney, Australia).
  • Stripe — Secure subscription billing and payment processing (subject to Stripe's Privacy Policy; RentWize never stores raw card details).
  • Didit — Third-party identity verification provider. Where identity verification is required, verification is completed by our identity verification provider. RentWize stores verification status/reference metadata, not raw identity document images, unless otherwise stated.
  • Intercom & Fin — We use Intercom/Fin to provide help centre and support responses. Support chat is not legal advice. Users should not upload identity documents, income documents, bank statements or evidence files into support chat unless specifically requested through a secure product flow.
  • Datadog — We use Datadog to monitor application reliability, performance and security. Datadog is not a user data store. We aim to avoid sending personal content into logs and apply redaction/minimisation controls.
  • Maileroo — Transactional email delivery (such as sign-up verification and password reset emails).

The following third-party integrations and internal tools are either disabled, strictly quarantined, or used solely for internal operational management:

  • Tomorro — CLM template signing workflow; disabled unless separately activated and disclosed.
  • Linear — Internal software issue and bug tracking. No customer support transcripts or tenant data is uploaded to Linear.
  • Notion — Internal knowledge base and support documentation. Notion is not a customer database and contains no user PII.
  • Agency API Processors — Disabled.
  • Tenant Passport / Income Verification Processors — Disabled.

8. Cookies

We use essential cookies for authentication and session management. We do not use advertising or tracking cookies.

8a. Third-Party Services (Cross-Border Disclosure)

Address autocomplete is powered by Google Places API (Google LLC, USA). Address fragments you type are sent to Google's servers for autocomplete suggestions. We store only the normalised address string and Google place identifier — not your typing history. For more information, see Google's Privacy Policy . This disclosure is made in accordance with Australian Privacy Principle 8.
